On this page
An AI search report is a one-page monthly summary of how AI tools mention, cite and send visitors to your business, with the limits of each number written beside it. The template below is ready to copy. It pulls together the prompt checks and first-party reports covered in how to track AI mentions. This page is part of our AI search optimization guide.
How to use this template: copy the text block into a spreadsheet, fill in one row per metric each month, and keep last month's figures beside this month's. Work through the checklists below to pull each number, then write a short summary and next actions.
The AI search report template
The table shows the layout. Each row is one metric, with the place its number comes from and the one thing it can't tell you.
| Metric | Source | This month | Last month | What it can't show |
|---|---|---|---|---|
| Prompts checked | Prompt log | [value] | [value] | Questions outside your prompt list |
| Mention rate | Prompt log | [value] | [value] | Answers outside your prompt list |
| Citation rate | Prompt log | [value] | [value] | Clicks or traffic |
| Accuracy rate | Prompt log | [value] | [value] | Why an engine got a fact wrong |
| Top cited sources | Prompt log | [list] | [list] | Weight of each source in the answer |
| AI impressions | Search Console generative AI report | [value] | [value] | Clicks; anything outside Google |
| AI citations | Bing Webmaster Tools AI Performance | [value] | [value] | Engines outside Microsoft's network |
| Top grounding queries | Bing Webmaster Tools AI Performance | [list] | [list] | A sample, not a complete log |
| AI referral sessions | Analytics | [value] | [value] | Visits that arrive as Direct |
| AI-referred conversions | Analytics | [value] | [value] | Influence without a click |
| Wrong facts found | Prompt log | [list] | [list] | Whether the source is fixed yet |
| Next actions | Report owner | [list] | [list] | Results; check them next month |
Copy this block into a spreadsheet. Each pipe becomes a column when you split text to columns on "|":

What a filled-in report looks like
Here is the shape of a finished report. The values are placeholders on purpose. Your own baseline month replaces them.
| Metric | This month | Last month | Note |
|---|---|---|---|
| Mention rate | [value] | [value] | New service page now named in answers |
| Citation rate | [value] | [value] | Directory listing still cited instead of site |
| Accuracy rate | [value] | [value] | Old address fixed on one profile |
| AI impressions | [value] | [value] | Guide pages gained impressions |
| AI citations | [value] | [value] | Grounding queries match service prompts |
| AI referral sessions | [value] | [value] | Most visits land on one service guide |
The note column matters more than the numbers. It turns a change into a reason, and a reason into next month's action.
Pull the prompt-check numbers
Run your fixed prompt list on each engine in the same week every month, then fill the prompt-log rows.
- Run every prompt in a fresh chat on Google, ChatGPT search and Perplexity.
- Count the answers checked, and record that total in the first row.
- Mark each answer that names your business, then work out the mention rate.
- Mark each answer that links to your site, then work out the citation rate.
- List the three sites cited most often across all answers.
Pull the first-party report numbers
Next, export the platform reports. Each one measures something different, so never add them together.
- Export AI Overviews and AI Mode impressions from Search Console's generative AI report.
- Note which pages gained or lost impressions since last month.
- Export total citations and top grounding queries from Bing's AI Performance report.
- Pull sessions with source or referrer chatgpt.com or perplexity.ai from analytics.
- Count conversions from those sessions, using the same segment every month.
Write the summary and next actions
A table alone rarely gets read. Put three or four plain sentences above it.
- Open with the biggest change since last month, good or bad.
- Explain each change with a reason from the note column.
- List every wrong fact found, with where it appears.
- Assign each fix to one owner with a due date.
- Close with the prompts to recheck first next month.
Keep the report comparable month to month
The value of the report is the trend. These rules keep one month comparable with the next.
- Keep the prompt list fixed; start a new trend line when it changes.
- Keep metric names and definitions word for word between editions.
- Write the limit beside every number, as the template does.
- Flag months when an engine changed its report or features.
- Compare against your own baseline, not someone else's numbers.
To act on what the report shows, start with optimizing for Google AI Overviews. If you'd rather have this report built and sent for you, our in-house SEO team reports on where clients are mentioned in Google AI Overviews and ChatGPT every month.
Common questions
How often should an AI search report go out?
Monthly suits most businesses. AI answers shift too much from day to day for weekly numbers to mean much, and a quarterly report is too slow to catch a wrong fact before buyers see it. Send it in the same week each month, after the prompt runs and the report exports, so every edition covers the same kind of period.
Why does the template have no target numbers?
Because there are no published industry benchmarks for AI mentions, citations or referrals, and we won't invent them. Your first report is your baseline. Set targets against it once you have a month of data, and judge progress against your own trend. Be wary of anyone quoting a benchmark without showing how it was measured.
Can I fill in this template without paid tools?
Yes. The prompt log is a spreadsheet, and Search Console, Bing Webmaster Tools and most analytics platforms are free to use. Paid tools can run more prompts and save time, but Google says no third-party tool has access to its internal ranking or AI systems, so treat their numbers as samples and check them against your own runs.
